Current Administration Job Openings

DEPARTMENT:   Administration                                                                  JOB TITLE:  Receptionist/Office Assistant

JOB SUMMARY:  The Front Desk Receptionist will represent Cottonwood, Inc. with excellent professional customer service skills along with performing a variety of other clerical duties.  This position will primarily answer incoming calls and transfer them appropriately.   This position is M-F - 8:00 a.m.-5:00 p.m. and minimal absenteeism and the ability to be punctual are a must.  Must maintain an awareness and understanding of the dual role of Cottonwood as it applies to CDDO functions and regulations.
 
QUALIFICATIONS:  Must have excellent communication skills, enjoy working with people, and competent clerical skills.  Knowledge of Microsoft word and other software necessary.   Must have a high school diploma.
 
SUPERVISION RECEIVED:  Office Manager.

SUPERVISION GIVEN:  None.

THIS POSITION IS:  Non-Exempt

JOB RESPONSIBILITIES: This job performs overall receptionist functions and CSP only items are bolded below.

*1.        Serve as Cottonwood’s first point of contact as the Front Desk Receptionist providing assistance in a professional manner,  communicate professionally when answering in-coming calls, directing callers and recording messages.  Greet and direct visitors to appropriate personnel, maintain courteous professionalism and help problem solve as necessary.

*2.        Be punctual and keep absenteeism to a minimum.

*3.        When necessary provide job vacancy information to applicants and route employment applicants to Human Resource Director after scanning into the HR application system.  Maintain a database of all applications for the HR department in access.

*4.        Provide and follow-up with assistance to callers with regard to transportation and appointment concerns, and general information.

*5.        Write and distribute purchase orders (i.e. groceries & gas).

* 6.       Data Entry:
                a. Enter work services invoices and maintain a file of each invoice.
                b. Do quarterly invoices for medbox billing and distribute.
               
 *7.       Compile, type and distribute monthly in-house newsletter. 
                                                                               
*8.        Clerical assistance as needed for various departments: typing, copying, and special projects.

*9.        Responsible for updating and distribution of agency telephone list monthly.

 *10.    Assist the Office Manager with assuring that the copy room is kept in an orderly manner and supplies are being efficiently stocked.

*11.     Retrieval and distribution of incoming daily mail.

*12.     Print and distribute consumer timecards on a weekly basis.

*13.     Keep front desk and reception area neat and organized.

*14.     Maintain positive professional working relationships with consumers, co-workers, supervisor, staff members, parents and community representatives.  Present positive, fair, and accurate image of the organization to the public.

*15.     Collaborate and problem solve with other clerical staff in a professional manner.  Promote team participation and negotiation and follow through with assigned responsibilities.

*16.     Communicate accurately, professionally and appropriately.

*17.     Work within prescribed schedule and complete responsibilities in a timely and efficient manner.

 18.      Attend meetings and in-services as required to maintain competency in position.

*19.     Assure compliance with Cottonwood’s Policies & Procedures.

 20.     This position will perform other duties within the guidelines of this job description as assigned by the
          supervisor.

Current Support Services Position

DEPARTMENT: Support Services             JOB TITLE: Support Services Coordinator/Case Manager
 
JOB SUMMARY:  Coordinates and monitors the quality of services and resources offered to persons served, ensuring the delivery of adequate and appropriate services, according to SRS, CARF and HCBS/MR Medicaid waiver standards/guidelines.

QUALIFICATIONS:  A Bachelor's degree and a minimum of at least six months experience in the field of services to individuals with mental retardation or developmental disabilities.  Special consideration will be given to individuals  that have extensive relevant experience in the field of services to individuals with mental retardation or developmental disabilities.  Noted experience may be substituted for any portion of a Bachelor's degree at a rate of six months of experience for each semester.   Must have a valid drivers license and a driving record acceptable to Cottonwood's insurance carrier.   Must be able to participate in specified targeted case management training, and registration as outlined by the CDDO & SRS.

SUPERVISION RECEIVED:  Director of Support Services.

SUPERVISION GIVEN:  None.

THIS POSITION IS: Non-Exempt

JOB RESPONSIBILITIES:
*1.        Coordinate the development of the Person Centered Support Plan Process for each consumer on caseload.

 *2.       Ensure that consumer rights are respected at all times and informed consent is obtained, as needed.

 *3.       Coordinate the acquisition of community resources, as determined/recommended by the team. 

 *4.       Maintain quality of case records for those persons on caseload and keep all information, as defined by SRS, CARF, Ability One, and HCBS/MR Medicaid waiver standards/guidelines.
 
*5.        Assist consumers in obtaining appropriate financial assistance and benefits.

*6.        Serve as primary agency contact for guardians, parents, and families for issues regarding the consumer.

*7.        Assist and coordinate crisis intervention, and seek  professional service, as needed.

 *8.       Assist in seeking appropriate health and medical services.

 *9.       Assist with the Admissions and Discharge process of consumers on caseload.

*10.     Complete BASIS as outlined by SRS.

*11.     Develop, review, and update consumer plan of care.

*12.     Present positive, fair, and accurate image of the organization to consumers, the public and community representatives.
 
*13.     Collaborate and problem solve with other team members in a professional manner.  Promote team participation and negotiation and follow through with assigned responsibilities.

*14.     Communicate and document accurately, professionally and appropriately.

*15.     Document and submit billable services for all consumers on caseload, in a timely manner.

*16.     Work within prescribed schedule as approved by supervisor and complete responsibilities in a timely and efficient manner.

*17.     Serve on inter-departmental committees as assigned.

 18.       Perform other duties as assigned by supervisor.

*19.     Complete all training requirements for the position as outlined by SRS and the CDDO.

*20.     Complete registration process as outlined by SRS.
